Executive Assistant (Remote)
About Us
Grove is a team of elite lawyers and business professionals reimagining what legal practice can be. We value collaboration over competition, principles over profit, and recognition of each individual’s journey towards authentic lawyering. We build authentic partnerships, harness technology, and deliver high-touch, client-focused counsel.
We work remotely and live in California and New York.
Position Overview
We are seeking an Executive Assistant to work directly with founding partner Sarah Kroll-Rosenbaum and support the effective operation of her practice, which spans complex litigation, employment, and antitrust matters, with deep roots in the staffing industry.
This is not a traditional calendar-and-travel role. The candidate will be a trusted partner in keeping Sarah’s practice organized, responsive, and moving forward. This role will help ensure that clients receive attentive, high-touch service, that matters, deadlines, relationships, and commitments stay coordinated, and that Sarah can focus her time on the work where she adds the most value.
The ideal candidate is a self-starter who thrives in a remote, entrepreneurial environment, builds systems others can rely on, and takes pride in polished, client-ready work.
Key Responsibilities
Client Service
Serve as a consistent, responsive point of contact for clients, acknowledging inquiries quickly and routing them to the right person.
Coordinate timely client communications and status updates with the responsible lawyers, making sure commitments are tracked and fulfilled. (This role does not provide legal advice or substantive matter updates independently.)
Prepare Sarah for client calls and meetings with briefing notes, matter status, and open items, and track follow-ups afterward.
Anticipate client needs and flag issues before they become problems.
Coordination Across Matters
Maintain a consolidated view of deadlines, filings, hearings, deliverables, and open commitments across Sarah’s matters, in coordination with the lawyers, paralegals and legal administrators responsible for calendaring and legal work.
Track assignments, next steps, and handoffs across the team; identify bottlenecks early and escalate competing priorities.
Organize matter files and client information so anyone on the team can find what they need.
Maintain a practical, practice-wide action list and provide concise, regular updates on priorities, pending decisions, and follow-through.
Billing & Collections Support
Review invoices for clarity, completeness, and client-specific requirements in coordination with the billing team and responsible lawyers.
Coordinate appropriate follow-up on outstanding invoices and route substantive billing questions to the responsible team.
Executive Support
Manage Sarah’s calendar, travel, inbox triage, and correspondence, and protect time for client work, leadership, and strategic priorities.
Coordinate business development logistics, contact follow-up, and speaking opportunities with the firm development team.
Prepare briefing materials for important meetings, speaking engagements, and professional commitments; capture decisions and drive follow-up.
Handle confidential information with discretion and sound judgment.
Qualifications
Required:
5+ years supporting a senior attorney or executive, ideally at a law firm or professional services firm with direct client contact.
A track record of client-facing work where responsiveness and polish mattered.
Exceptional organization and ownership: you build reliable systems, track multiple commitments, and surface risks before deadlines are missed.
Clear, warm, professional writing and phone presence.
Judgment and discretion with confidential matters.
Comfort with Microsoft 365 and legal billing or practice management software.
Preferred:
Experience supporting a litigation practice.
Experience coordinating business development, speaking engagements, or client events.
Experience working with a remote or distributed team across time zones.
Above all, we are looking for someone who is proactive and resourceful, distinguishes urgent from important, and knows when to escalate. Integrity in practice matters here: the ideal candidate will follow through on commitments, communicate candidly when something is at risk, and treat colleagues and clients with care.
What We Offer
A seat at the center of a founding partner’s practice, where this role’s work reaches clients directly.
A collaborative environment at a growing boutique, where good systems and good ideas get adopted.
Fully remote practice model.

Opportunities for professional growth.
A values-based culture grounded in mutuality, integrity, and authentic partnership.
